The arrival of spring is rapidly approaching. In North America, it actually starts on March 20 or 21, 2023. Although spring is frequently linked to fresh starts, it is also a time of change. As the weather warms up and flowers start to bloom, it feels like everything around us is coming back to life after a long winter.

This season is a great opportunity for a sole proprietor to make improvements to their company. Now is the ideal time to embrace change and extend a warm welcome to fresh concepts and chances!

Introducing the Kaizen Principle

The best way to effect long-term change is by making frequent, slow, incremental adjustments. The term Kaizen refers to this well-known Japanese philosophical system. As a sole proprietor, you can adopt the Kaizen philosophy. This will result in great improvement as you make small, gradual changes.

You might be thinking, “That sounds wonderful in theory, but where do I start practically?” The following recommendations will aid in implementing the Kaizen principle.

Step 1: Identify Areas For Improvement

The first step in using Kaizen in your small business is to figure out what needs to be fixed. A quick review of your procedures and methods can help answer questions like:

  • What are my biggest challenges or pain points?
  • Which areas of the business do I struggle to keep up with?
  • How is the feedback from my customers?
  • Are there any areas where I can reduce costs or improve efficiency?

By answering these questions, you can start to identify the areas of your business that need the most improvement. For instance, are your customers frequently complaining about long wait times? Then it’s clear that you need to improve your customer service process. Similarly, if you notice that you’re constantly running out of stock, you may need to reassess your inventory management process.

Once you have identified areas for improvement, prioritize them based on their impact on your business. Start with the areas that have the most significant impact. Then, move down the list as you make progress. By following this approach, you can focus on the most important areas and make the most significant impact on your business.

Step 2: Set Achievable Goals

Once you’ve identified areas for improvement, set achievable goals that will help you make progress. For example, if you want to improve customer service, you might set a goal to reduce response times to customer inquiries by 10% in the next month.

Now that you have your goal, break it down into small, manageable steps. This you can take on a daily or weekly basis. For example, to reduce response times, you might start by responding to all customer inquiries within 24 hours.

There are numerous articles written about goal setting and how to go about it.  One tool that I found most helpful is the SMART principle. SMART is an acronym that stands for Specific, Measurable, Achievable, Relevant, and Time-Limited. There are numerous websites that outline this process and give examples of how to write them.

Moreover, written goals  have a 42% higher chance of success than those you keep in your head. The seemingly straightforward act of writing, according to Nabin Paudyal “unlocks all kinds of psychological and personal dynamics that translate to real tangible results.” Be confident that writing out your goal(s) on paper will give them strength and energy.

Step 3: Analyze and Measure Progress

You have your goal(s), and have implemented the change.  Now you need a system in place to track and measure progress. This will enable you to see the impact of your change(s) over time. Furthermore, it will help you understand what’s working and what’s not, and make adjustments accordingly.

There are plenty of tools available to help you analyze and measure changes in your small business. Here are some examples:

  1. Spreadsheets: A simple and effective tool to track progress toward specific goals.
  2. Customer Relationship Management (CRM) software: Helps you manage and analyze customer interactions and data.
  3. Project management software: A great way to organize and manage projects, assign tasks, and track progress.
  4. Analytics tools: Can help you analyze website or social media data, track user behavior, and measure the effectiveness of marketing campaigns.

Choosing the right tool depends on your specific goals. Therefore, find the one that works best for you and your business. With the right tools in place, you’ll be able to track progress and make data-driven decisions to keep improving.

For instance, for the sake of this blog, our goal was to respond to all customer inquiries within 24 hours. You can track progress by using a simple spreadsheet to record response times. Then, regularly review your progress against your goal.

Remember, progress takes time, so be patient and celebrate every small success along the way. With the right mindset and approach, you can achieve your goals and improve your business one step at a time!

Step 4: Continuously Improve

As a solopreneur it is important to keep looking for ways to improve and fine-tune your processes. Don’t be afraid to experiment and try new approaches.  Two ways to encourage improvement are as follows:

A. Encourage Feedback

It’s important to encourage feedback on changes you’re trying to implement. This will give you a sense of how your customers or clients are responding. For example, if we’re looking for feedback on improved response time, here are a few ways to do it:

  1. Send a follow-up email: After responding to a customer inquiry or request, send a follow-up email. Ask them how the response time was and if there was anything else they needed help with.
  2. Include a survey in your email signature: Add a short survey to your email signature that asks customers about their experience with your response time. Furthermore, ask how it could be improved.
  3. Request feedback on social media: Post on your social media platforms asking customers to share their experience with your response time, and how it’s improved since you implemented changes.
  4. Use a chatbot or live chat: If you have a chatbot or live chat feature on your website, include a feedback prompt after a chat session is complete. Again, ask customers about the response time.

Remember to make it clear that you’re looking for honest feedback, and that you’re open to suggestions for improvement. By asking for feedback, you’ll be able to gain valuable insights on how your changes are working. Furthermore, you will learn how you can continue to improve the customer experience.

B. Automate and Streamline

As a sole proprietor, you have a lot on your plate. Identifying tasks that can be automated or streamlined to save time and increase efficiency is a must.

You might not have the funds to implement sophisticated customer response automation tools in our customer response time example. However, there are still some effective ways to automate and streamline customer response times. Here are a few ideas:

  1. Use an email autoresponder: Set up an email autoresponder that sends an automatic response to customers when they send an inquiry or request. This message can acknowledge the inquiry and let the customer know when they can expect a response.
  2. Use canned responses: Create a set of pre-written responses to common customer inquiries. Save them as templates in your email client. This can help you respond quickly to frequently asked questions without having to type out a new response every time.
  3. Use a scheduling tool: If you offer appointments or consultations, use a scheduling tool. This should allow customers to book appointments directly on your website or social media profiles. In addition to being practical, it can also reduce the number of back-and-forth emails or phone calls as people try to find a time that works for everyone.
  4. Use social media tools: Social media sites like Facebook and Twitter offer tools for automating and managing customer interactions. For example, you can set up automatic responses to messages or comments. You can use tools like Hootsuite to manage your social media accounts in one place.

By using these tools, you can make the way you respond to customers more efficient and have more time to work on other parts of your business.

Automation should be used whenever and wherever it is possible. Depending on what you want to change or improve, you might be able to find an app to assist you. It’s worthwhile to look into it.

Step 5: Practice Self-Reflection

A. Why should I practice self-reflection?

Reflecting on your progress and changes as a sole proprietor is important for a few reasons.  They are:

  1. Measures progress: Reflecting on the changes you’ve made can help you measure your progress towards your business goals. It allows you to assess whether you’re on track, and if not, to make adjustments to your plans and actions.
  2. Identifies areas for improvement: Reflecting on the changes you’ve made can help you identify areas that need further improvement. By acknowledging what isn’t working, you can make changes to improve your business’s performance.
  3. Boosts motivation: Celebrating your successes, even the small ones, can help boost your motivation. It’s easy to get caught up in the day-to-day tasks of running a business and forget how far you’ve come.
  4. Learning from mistakes: Reflection allows you to review and learn from any mistakes you’ve made. By analyzing where things went wrong, you can identify ways to avoid making the same mistakes in the future.

B. How can I take time for self-reflection?

Without a doubt, the Kaizen process depends on self-reflection. But when will I have the time to do this, you might be wondering? Yes, it can be easy to get caught up in the day-to-day tasks of running your business and lose sight of the progress you’ve made. However, there are some things you can do to find the time. Here are some quick tips:

  1. Schedule time on your calendar: Perhaps once a month or once a quarter. Use this time to go over your goals and see if you’re on track to meet them.
  2. Use a progress log to keep track of your changes: Write down the changes you’ve made and the progress you’ve made towards your goals. This can help you see the bigger picture and provide motivation to keep going.
  3. Seek Customer Feedback: This does not have to take much time, as alluded to earlier. Once you have some automation in place, you can thoughtfully reflect on their input.
  4. Celebrate your successes, no matter how small: This can be as simple as making yourself a specialty coffee, or purchasing something for the office.

As a sole proprietor, using the Kaizen principle can make a big difference in how your business works and how well it does.  Over time, you will make progress with these five small, incremental steps. It’s worth finding the time to implement them.
